DNA Weekend is the data controller for the personal information collected through this website and application process. The same controller information used in our Legal Notice applies to this Privacy Policy.

Information we collect

When you apply to DNA, we may collect:

• Dance role
• Dance experience level
• Dance background
• Application answers
• Reasons for joining
• Submitted social-dance video link

Contact details and application answers are collected to review and manage applications.

Legal basis for processing

Incomplete application drafts

When you start an application and complete the contact step, your contact details and application progress are saved securely as an incomplete draft. This is done to:

• Prevent technical loss if you experience a connection problem or leave before completing the form
• Allow you to resume your application on the same device
• Help the DNA Team identify and recover incomplete applications if a technical issue has occurred

Incomplete drafts are stored securely and are accessible only to authenticated administrators. They are not used for marketing.

If you grant the optional contact permission on the application form, the DNA Team may contact you by email or WhatsApp if your application appears incomplete or may not have been saved. If you do not grant this permission, the draft may still be stored for technical recovery, but the DNA Team will not use it to send you an incomplete-application reminder.

Technical logs and analytics

We use technical submission logs and funnel events to detect submission failures, prevent data loss and improve application reliability. These logs record:

• An anonymous session identifier
• The type of event (for example, draft created, step completed, submission succeeded or failed)
• Sanitised error codes and messages
• Device and browser category (for example, desktop or mobile, Chrome or Safari)

Analytics events and technical logs never contain names, email addresses, phone numbers, Instagram handles, video links or application answers.

ApplicationDraft and ApplicationSubmissionLog records are accessible only to authenticated administrators. Public visitors cannot list, read, search or export these records.

Application video links

Submitted social-dance video links are reviewed only for the application and group-selection process. DNA does not download, redistribute or publish an applicant's video without permission.

Service providers

Information may be processed only by service providers genuinely required to operate the website and event, such as:

• Base44 — the website, database and application-backend platform that hosts this site and processes application data as a processor
• Hosting and cloud-service providers
• Email and communication providers
• Secure payment providers, if activated in the future
• Accounting, tax or legal advisers where necessary
• Technical support providers

DNA does not sell applicant information.

International data processing

Your information may be processed by service providers located outside your country of residence, including potentially outside the European Economic Area (EEA). Where this happens, appropriate safeguards — such as standard contractual clauses or other legally recognised transfer mechanisms — are used to help protect your personal information in line with applicable data-protection requirements. Data retention

• Incomplete application drafts are automatically marked as abandoned after 48 hours without activity and are permanently deleted 30 days after their last activity.
• Technical submission logs are deleted after 90 days unless they are required to investigate an active security or technical incident.
• Submitted application data is retained only for the application process, event administration and applicable legal requirements.
• Waiting-list information may be retained until the relevant event has ended.
• Accepted-participant information may be retained for event administration and legitimate follow-up.
• Payment, invoice and accounting records may be retained for the period required by applicable law.
• Optional marketing information may be retained until consent is withdrawn.
• Information is not retained for longer than necessary for the purpose for which it was collected.

Analytics and cookies

DNA uses Base44's built-in first-party analytics to measure the application funnel and detect submission failures. These analytics events are non-identifying and do not contain names, email addresses, phone numbers, Instagram handles, video links or application answers.

If Base44 Analytics uses cookies or persistent identifiers, non-essential analytics will not be activated until an appropriate consent mechanism is available. If the analytics system is cookie-free and strictly limited to audience measurement, it will be documented here once confirmed. No third-party tracking or advertising cookies are installed by this website.

Marketing communications

• Marketing consent is optional.
• Refusing marketing does not affect an application.
• Marketing consent can be withdrawn at any time.
• Essential application and participant communications are not marketing messages.

Photography and video

Photography and filming may take place during DNA activities. Images and recordings may be used to document and promote DNA events, subject to applicable privacy and image-rights laws. Participants with a specific privacy or image-use concern should contact dnaweekend.info@gmail.com before the event.

Data security

DNA takes reasonable technical and organisational measures to protect your personal information. Access to application data, incomplete drafts and technical logs is restricted to authenticated administrators. Public visitors can only submit applications through secure backend functions and cannot directly access, list or export any applicant data.
